Social Minds Terms & Conditions

Please carefully read our terms and conditions prior to accepting them via the registration form.

If you are self funded (not funded by NDIS), fees are required to be paid within two weeks of service online following invoices being issued.

Unpaid Fees

Social Minds has a zero policy for unpaid fees. Self funded program fees must be paid prior to your scheduled session. If your fees remain unpaid, your enrolment will need to be cancelled and the two week notice period will still apply from the cancellation date.

We require a full program commitment for each of our enrolments. However we also understand should circumstances change and you wish to un-enrol.

For the Social Minds Club program, for those that have not yet signed a service agreement we require 2 weeks notice that you wish to un-enrol. During the 2 week notice period, a participant is welcome to still attend as fees are still required to be paid. This is due to our extensive waitlist and onboarding process as well as ratio requirements.

NDIS Short Notice/Cancellation/No Show Policy

Where a provider has a Short Notice Cancellation (or no show), they are able to claim 100% of the agreed fee associated with the activity from the participant’s plan, subject to the NDIS Pricing Arrangements and Price Limits and the terms of the service agreement with the participant.

A cancellation is a short notice cancellation if the participant:
Does not show up for a scheduled support within a reasonable time, or is not present at the agreed place and within a reasonable time when the provider is travelling to deliver the support; or
Has given less than seven (7) clear days’ notice for a support.

Social Minds has an internal policy that allows for 48-hour cancellations for sicknesses or medical emergencies with a medical certificate.

For supports delivered to a group of participants, if a participant cancels their attendance and if the provider is unable find another participant to attend the group session in their place then, if the other requirements for a short notice cancellation are met, the provider is permitted to bill the participant who has made the short notice cancellation at the previously agreed rate that they would have billed if the participant had attended the group. All other participants in the group should also be billed as though all participants had attended the group.

All Parents are responsible for the safe drop off and pick up of their Children before and after their sessions. For the safety of the Children, we require a parent or guardian (must be listed on registration form) to come and collect the Child from our waiting area.

When you collect your Child, please notify our receptionist upon departure.

If you would like to authorise your Child/Children to come and meet you downstairs on their own, please give permission. 

This policy gives permission for the Social Minds staff members to take photos of students in their lessons, of their achievements and with staff for the purpose of social media and website content.

All photos taken will not include students full names and if the student is wearing their school uniform this will not be included for safety purposes.

For the safety of our staff, parents and students we have installed CCTV cameras in our centre. Footage will only be viewed when necessary and will be deleted after 30 days.
